Auction Flex gives you the ability to create a notification email for either grouped or specific interest lists. Your emails can be set up in a simple text format or as an HTML. Send your emails through your own mail server, use your provider's server, or, if hosting with Auction Flex, use our in-house servers to send your mail. Follow the easy steps below to notify your buyers, save on postage, and create unique notifications on the fly.
1. Go to the Miscellaneous drop down menu at the top of the software.
| • | Go to Settings and Options. |
| • | Hit the Email tab |
| • | Check the SMTP Mail Server option and enter your mail server name. If required by your service provider, also enter your Username and Password into the appropriate fields. |

2. Create your Mailing List through Mailing List Maintenance.
3. Hit the E-mail button at the lower right corner of Mailing List maintenance. Hit the new button to create your new unique email. Go to the Email Info Tab. 

| • | The Sender Email field allows you to enter the email address that you wish your customers to see and reply to. |
| • | You can enter the Sender Name as it will appear to your customers. |
| • | Create the body of the e-mail in the Message field. This can be created either as text or HTML by choosing the content type (must use an outside HTML editor, then copy/paste). Individualize your emails to the buyer by using our merged field option. Let the software automatically fill in common fields, such as full name, company, or email. Just right click in the email body and choose the desired field that you wish to merge. You buyer will see an email as if it were sent directly to them, not as a bulk email with all buyer e-mail addresses in the send to field. |
| • | Send a test e-mail to confirm that all settings with your e-mail and mail server are correctly configured. You can choose the test e-mail address, as well as how many tests you wish to send. |
4. Choose the Action Tab

| • | Highlight the selected mailing lists you wish to receive your notification. |
| • | You have a choice of sending to all matching records or to send to the first X number of matching records. This option when used in conjunction with the Wait X Seconds Between Each E-Mail will be convenient for Mail Servers that determine spam e-mail by amount sent at any one time. Set the options below the server's threshold and feel confident your e-mails will reach the intended recipients. |
| • | To avoid over-emailing your buyers, Auction Flex gives you the ability to filter out any buyers that have previously received an e-mail over the last X number of days. |
| • | Hit the Send E-mail to the Selected Mailing Lists button and let Auction Flex do the rest. If you have a list of e-mail addresses for potential bidders who have never been entered into Auction Flex, use the Send To Alternate E-mail button. |
| • | The Activity Tab will let you view any e-mail activity for a selectable period of time. |
