Clerking Detailed
All fields can be entered through by pressing <Enter> on your keyboard. After the last field (bid card #) you will notice that your focus moves to the button. Pressing <Enter> while your focus is on this button is the same as clicking it with your mouse. You should get into the habit of not using your mouse when entering normal clerking activity. You may find it easier to use your mouse when making corrections even though it is not necessary.
| • | Prelotted (catalogued) auctions |
| • | When clerking prelotted auctions we are typically just entering the lot # that we are selling, the qty to sell (if turned on), the bid amount, and lastly the bid card #. When selling 'times the money' be sure to enter your bid amount into the unit price field. When selling for 'one money' be sure to enter your bid amount into the extended price field. |
| • | Grouping - grouping multiple lots together are most often for 'one money' but sometimes 'times the money' too. To sell lots 1,2,&3 together type 1-3 into the lot# field. To sell lots 1, 3, & 5 type 1,3,5 into the lot # field. Enter your bid amount in the unit price field if you wish to sell 'times the money' or enter the bid amount into the extended price field if you wish to sell for 'one money'. |
| • | Splitting - this is often used when we sell 'choice' or when we sell in 'pass out' mode. There are actually two ways to split lots. First, you can merely enter a quantity to sell that is less than the quantity available. Then, if you enter the same lot again you will notice that the quantity available has been reduced by the amount you have previously sold. The other way to clerk splits is to press the <F6> button on your keyboard after you have entered the lot#. This brings up a small grid that allows us to enter multiple rows of unit price (bid amount taken times the money), bid card #, & quantity taken. This feature can be convenient when selling very rapidly. |
| • | Nonlotted add-in - keep in mind that you can create an 'A' lot (any lot that you create during the auction because it was not pre-entered) by typing an unused lot # into the lot # field. If you don't know what lot# to use you can always type in lot # 0 (zero) and the system will find the next available lot # for you. |
| • | Nonlotted (non-catalogued) auctions |
| • | You will be prompted for the lot# that you wish to clerk. Each item that is sold must have a unique lot#. |
| • | You will then need to fill out the consignor code, inventory type, lead, description, etc. for each lot. Some of these fields may be disabled. You can change these settings by going to Option Maintenance->Clerking tab. |
