Setting Up an Auction

The Export button Export allows you to export your auction data in a variety of different formats, the most common being Excel spreadsheet.  Users can than take the exported file and forward it on to online auction-simulcast hosts such as Proxibid and LiveAuctioneers.

The Upload Tool Upload allows you to upload your auction catalogs while giving you a variety of settings to choose from.  It is here that you can set the settings for bidding, registration and also upload your prices realized.

 

 

Creating and maintaining an auction can be done by clicking the Auction Setup icon (the gavel). 4_Cmd_AuctionMaintenance From here, the user can set up a variety of auction settings such as designating the Buyer's Premium rates and adding expenses to an auction.  This chapter is designed as an introductory tutorial for basic auction set up.

 

The first screen you will see when entering the Auction Maintenance screen will look like the following:

You will see that it is here that you change the name and date(s) of your auction.  The Auction ID is the particular number for this auction (1 being your first auction, 2 your second, and so forth).  Here on the lower part of this window is the area to change the Buyer Premium, Tax 1, and Tax 2 (not shown) Rates.  Finally, we must choose the Type of auction we are holding.  It is "safest" to choose 'Automatically Determined', for this will encompass all of the options and a combination of catalogued & non-catalogued in a single auction.  Your choice here will only effect the clerking behavior.

 

The following tabs: Auction_Maint_Tabs are primarily for internal use with the exception of 'Terms & Conditions' which are printed on your catalogs, online catalogs, and bid-cards.  These fields will help you to track your auctions so referring back to information on those auctions in the past is made easier. If you click on the 'Auction Lots' Tab 4_pag_AuctionLots you will see this is the area where we maintain our lots prior to an auction.

Before you can enter lots into the auction you must first create and set-up your consignor(s).

 

The Fast Entry 4_cmd_FastEntry tool allows you to easily enter lots directly into the auction.  Here you can assign a lot number, lead, quantity, estimates, reserve, and a description for the items you want in tour auction.  You can also attach images to these lots by 'drag and drop'.

Once you have entered in your lots under fast entry, you will see them listed under the main 'Auction Lots' Tab like this:

The Add List of Inventory 4_cmd_AddListOfInventoryNum function allows you to allocate your on-hand inventory straight into an auction by assigning it a lot number in this easy to use list-tool.

The Add Inv# button 4_Cmd_AddInv will prompt you for a specific inventory number and then allocate that item to the auction.
Add Group tool 4_cmd_AddGroup will bring up the screen below showing you all of your inventory that is currently not allocated.  From here you may sort your inventory by the different column headers, and finally allocate them to an auction by highlighting the pieces and click on either the OK_Promptto set the lot number manually, or OK_Auto for lot-numbering to follow your 'Auto Number Lot' rules.

The VisiLotter 4_cmd_visilotter is a dynamic visual-lotting tool for Auction Flex.  Please see the VisiLotter section for further details.

 

You may also renumber your lots after they have been allocated into an auction, but before you sell them.  You may renumber a single lot # by clicking on the Renumber button Renumber or renumber your lots in a batch by clicking th Advanced Renumber button Advanced_Renumber.  The Advanced Renumber tool will allow you to renumber using Auto Numbering options, start at lot 1 and increase by an increment of 1 or to flatten all sub-lot numbers.

The next tab Item_Expenses will allow you to place various charges/expenses on to your auction.  Please see Add Expenses to Auction for further help.
Auction Flex can also accept an array of different types of alternate bids. Alt_Bids To manage these bids, you should go to the 'Alt Bids' Tab and add or remove absentee (left), phone, and/or internet bids.  If you have elected to hold auctions online and accept online-absentee bids, this is the area you download the successful bids from by clicking on the Download_Bids button.  You may E-Mail Results to your online bidders from this tab as well.

** NOTE: Just taking alternate bids on lots does not mean that those items are sold.  They must still be clerked to receive a 'sold' status.

The CO's & PO's Tab CO's_PO's_Icon is the direct portal to editing the Consignment Orders (COs) and/or Purchase Orders (POs) as well as Consignors and Vendors associated with this particular auction.  Please see Creating a Consignment Order or Add Purchased Inventory sections for further reference.
And finally, we have the Comm & Buyback Tab Comm&Buyback.  The default setting is to have the commission determined by the consignors' commission structures/rates, however, you may also have the commission be auction or inventory-type specific.  This is where you change the setting.
