The wireless handheld unit comes with a base station that connects to your computer. The handheld communicates with the base station and the base station communicates with your computer. You can think of the wireless handheld unit as a really fancy wireless keyboard with an incredible 3000' (foot) range.
To demo a virtual wireless handheld unit:
1. Click on the Wireless Handheld Setup & Monitoring button from the Navigator or the Navigator Toolbar. You must run this from the computer that the base station is connected to.
2. To start ensure that your base station is plugged into your computer and make the appropriate Com Port and Baud Value settings, then click on the Init button.
3. To start using the handheld unit you can either use a real terminal, or, for demonstration purposes you can use a virtual terminal:
| • | To use a real handheld wireless unit start by clicking the On/Off button. |
| • | To demo the wireless handheld unit click on one of the Virtual Terminal buttons and then press Enter on your keyboard or click on the On/Off button. NOTE: to demo the virtual terminal you MUST answer No, when prompted, "Will you be using this computer for other purposes...". |
4. Once at the Auction Flex menu you will be able to lot the auction by inventory # or clerk the auction:
| • | To Clerk the Auction press 3 and then Enter. |
| • | To Clerk a prelotted auction: |
| • | You will then be prompted for the lot# that you wish to clerk. The handheld unit does support grouping in formats such as: |
| • | 1-3 (for lots 1 through 3) |
| • | 1,3-5 (for lots 1 and 3 through 5) |
| • | 1,5,9 (for lots 1 and 5 and 9) |
| • | 1-3,7-9 (for lots 1 through 3 and 7 through 9) |
| • | You will be prompted for the price. To sell times the money end the bid amount with a * or x. To sell for one money end the bid amount with a /. Remember that with a quantity of 1 'times the money' and 'one money' result in the same bid price and the ending specifier of * or / can be ignored. Also note that the system will automatically assume times the money or one money depending on your settings in Option Maintenance->Clerking tab. |
| • | You will be prompted for the bid card #. To mark an item as not sold you must clerk this bid to a house# which can be set up in Option Maintenance. If buy backs are turned on and set up properly then they will work here automatically as well. |
| • | In prelotted mode (if you have quantities turned on in Option Maintenance) you will then be prompted for the Qty to Sell. The default qty available will be listed in Parentheses (). To accept the qty available as the desired qty to sell merely press enter. |
| • | You will be prompted to Save? Press enter to save the clerking entry or press 0 (zero) to not save the bid. |
| • | To Clerk a prelotted choice bid or pass out. |
| • | A common occurrence in an auction is to sell items 'choice'. The auctioneer typically establishes the highest bid to a particular bidder. The bidder can then choose how many they are interested in purchasing. At this point, rather than waiting for the buyer to choose, the auctioneer will often continue with the auction selling other items. At some point our 'choice' bidder will decide how many they want. At this point we need to reclerk the bid with the actual quantity and may then need to sell more of this same item in the same 'choice' method. The following steps outline the easiest steps to accomplish this utilizing the handheld for nonlotted auctions. |
| • | In prelotted mode we have already established the qty available, so for this example let's say we have 20. |
| • | Type in 1 for the lot # and press enter. |
| • | The auctioneer establishes a bid price of $20 to bidder #5 for lot #1 |
| • | If the auction is going to proceed while the bidder decides how many the want, let's go ahead and clerk this entry in the handheld using a quantity to sell of 1 even though we will likely change it later. |
| • | Now the auctioneer may proceed selling lot #2, lot #3, etc. Go ahead and clerk these entries in the handheld like normal. |
| • | Now the original 'choice' bidder (#5) decides they want 8. |
| • | Type lot #1 (or the left arrow button) and the handheld recognizes that this is an existing clerking entry. It will ask us to press 0 (zero) to delete. Go ahead and press 0 (zero) to delete this bid. |
| • | Now the system will assume we want to clerk this lot again and will put the lot# in parentheses (1) so we can just press enter. The handheld will already know what the item is (consignor, description, etc.) and will remember the last clerking entries used for price, bid card #, & qty. |
| • | You will now be on the price field. The handheld remembers the original price that we entered. If we want to accept that original price just press enter (no need to type in the price again). |
| • | You will now be on the bid card # field. The handheld remembers the original bid card # that we entered. If we want to accept that original bid card # just press enter (no need to type in the bid card # again). |
| • | You should now be on the qty field. Change the qty to 8 and press enter. |
| • | You will then be prompted to save. Press enter to save. |
| • | You may remember that we now have 12 remaining. To continue selling lot #1 at the same price type just a + in the lot# field. To sell more of lot#1 but at a different price just hit enter to accept the default lot# in parentheses (1) or type 1 for the lot# and press enter. |
| • | The computer now knows that we want to sell more of lot #1. |
| • | If you just typed + for the lot# the same price is assumed and we are prompted for a bid card #. If you typed 1 or just enter, then the system will start by prompting us for the price. |
| • | Once you get to the qty field again you can sell the remaining 12 right now or you can just enter a quantity of 1 for now and come back later to fill in the accurate quantity for lot # 1. |
| • | As you can see we can do this many many times until we have exhausted the quantity available for lot #1. |
| • | To clerk/delete a previously entered bid. |
| • | Type in the lot # or press the arrow key to the left or the right (depending on your handheld setup, you may have to press the enter key after pressing the arrow key). |
| • | You will then be prompted to keep the previous bid. Pressing enter will keep the previous bid. Pressing 0 (zero) will delete the previous bid allowing you to reclerk it. The handheld will remember the quantity, price, & bid card # if you immediately reclerk the lot. This means that if you only want to change one of the criteria (qty, price, or bid card#) you can enter through the other fields to accept the previously entered values. |
| • | To clerk a nonlotted auction: |
| • | You will be prompted for the lot# that you wish to clerk. Each item that is sold must have a unique lot# which you can think of as a sequence #. |
| • | You will be prompted for the Consignor Code for this lot. The last used consignor code will be contained in parentheses (). To accept the last consignor code just press enter. To enter a different consignor, type the new consignor code and then press enter. |
| • | If you are using inventory types in nonlotted mode then you will then be prompted for the inventory type. The last used inventory type will be contained in parentheses (). To accept the last used inventory type just press enter. To enter a different inventory type type the new inventory type code and then press enter. |
| • | You will be prompted for the description. Please keep in mind that we offer keyboard converters for the handhelds. The keyboard converter allows you to plug in a full-size PS2 keyboard which can be significantly faster for longer leads. |
| • | You will be prompted for the price. To sell times the money end the bid amount with a * or x. To sell for one money end the bid amount with a /. If you do not enter a * or a /, then the system will use the options in option maintenance to assume either 'times the money' or 'one money' Remember that with a quantity of 1 'times the money' and 'one money' result in the same bid price. |

| • | You may now be on the Inventory Type field (if this option is turned on). Enter the desired inventory type code and press enter. |
| • | You will now be on the Lead field. The lead is a short description. Enter the desired lead and press enter. |
| • | The auctioneer establishes a bid price of $20 to bidder #5 for lot #1 |
| • | Let's go ahead and clerk this entry in the handheld using a quantity to sell of 1 even though we will likely change it later. |
| • | Now the auctioneer may proceed selling lot #2, lot #3, etc. Go ahead and clerk these entries in the handheld like normal. |

| • | The computer now knows that we want to sell more of lot #1 and will automatically provide the next subnumber available (1a). |
| • | The initial fields (consignor code, inventory type, & lead) will default to the same values as lot# 1 and will skip over them. |
| • | If you just typed + for the lot# the same price is assumed and we are prompted for a bid card #. If you typed 1+, then the system will start by prompting us for the price. |
| • | Once you get to the qty field again you can sell the remaining 12 right now or you can just enter a quantity of 1 for now and come back later to fill in the accurate quantity for lot # 1a. |
| • | As you can see we can do this many many times until we have exhausted the quantity available for lot #1. Just remember that each time we enter lot # + or 1+ the system will provide the next available lot sub number for lot # 1 (ex: 1a, 1b, 1c, 1d, etc.) |
| • | To clerk multiple rings in nonlotted environment |
| • | Keep in mind that every item sold in Auction Flex needs a unique lot #. Remember that a lot# uniquely identifies the item(s) being sold while the consignor code establishes who the lot belongs to. |
| • | So if we are clerking multiple rings we want one ring to start with lot #1 and the next ring to start with lot #1001, and the next ring to start with lot #2001, and so on. This ensures that as we clerk the auction our rings do not try and use lot#'s that another ring has already used. |
| • | Auction Flex is smart enough to establish that we are running multiple rings and will remember each handhelds last maximum lot# when determining the next available lot #. So as we clerk from ring 1 the first lot # we manually enter will be lot # 1. The handheld will then automatically increment lot #'s starting at 1 (Ex: 1,2,3,etc.). Ring 2 will manually start with lot# 1001 and then the handheld will automatically increment lot#'s starting at 1001 (Ex: 1001,10002,10003). |
| • | If you have entered incorrect data and wish to clear the field you are working on then press the Clear button. |
| • | If you have entered incorrect data on the previous field and wish to go up to the previous field, just press the Up button (depending on your handheld setup, you may have to press the enter button after pressing the Up button). |
| • | If at any time you wish to end the current task press the End button. |
